Our flexible services:

Depending on your group's needs, we will provide whatever services your group needs to make the trip happen within budget, satisfying the goals and objectives of the trip.

We can arrange everything a group could need for its Hawaii group trip -- from, preliminary planning, to written materials describing the trip and budgeting, to building a complete itinerary with inbound Hawaii flights, inter-island flights (if necessary) accommodations, ground transportations, tours and activities, meals, and planned down time to relax and explore.

We will maintain detailed records and will keep tract of all due dates, and will remind of information and payment due dates.

Some group leaders know the island(s) and know what they want for their Group. Others have no idea where to start and wonder how they managed to become Group Leader. We have worked with groups, all along the spectrum of needs -- from the least needy to the most. We have worked with corporate groups with large budgets for incentive trips and with groups on a shoestring budget.

We'll arrange all the details of your itinerary, leaving you free to manage only the participants and the payments, and we can offer you multiple payment options.

Who really needs a reason to visit Paradise? If excuses are needed, how about the fact that Hawaii is beautiful, has a perfect climate year round, caters to visitors with an abundance of places to stay and things to do, in every price range, and is more affordable than you may think. Depending on the size of your group, it may even be possible to get free flights for the group leaders. That alone might be a good enough reason!

Group Travel Definition:

We define a group as any client with 10 or more travelers requiring 10 or more passengers on the same flights or 10 or more hotel rooms.

We assist groups with airfare to Hawaii, inter-island air tickets, hotel rooms, vehicle rentals, ground transportation, tours, lei greetings, and activities. We'll also make other special arrangements as needed.

We also assist groups to book Hawaii cruises.

We strive to get the best possible prices for groups and individuals and will use whichever suppliers and rate sheets in whatever combination that best realizes this.

Deposit and payment requirements:

For all group bookings, a $200 administrative deposit is due at time of booking. This deposit is non-refundable, unless we cannot secure the rate quoted.

If multiple suppliers are used to create the package, a deposit may be required by each vendor. We provide the client with deposit and payment due dates and amounts. Client is responsible for making payments to Affordable Luxury Hawaii Travel on time so that we may make payments to our supplier for your travel products. (For example, many airlines require $100 per person 2 weeks from initial booking date and final payment may be due 60 days prior to departure date.)

Needed from client:

We will need the Group Leader's name and contact information, as well as a cell phone for contacting them in Hawaii, and the names of chaperones.

Since we will need to enter into contracts with our suppliers for the groups travel products -- hotels, flights or tours, activities and meals, we will prepare a contract between the group and Affordable Luxury Hawaii Travel and we will require the group leader's signature on the contract before we sign contracts on your behalf.

We will need a completed typed list of passenger names and special requests by due date (often 60 days prior to departure date).

We will need a completed typed rooming list, inclusive of names, ages, bedding requests, and other room requests by due date (often due 60 days prior to departure date).

For some groups, hotels require the group leader to sign a letter of responsibility accepting financial responsibility for any damage caused by the group members.

Penalty Information:

(Cancellations may vary by supplier, but these are fairly standard flight penalties.)

  • More than 60 days from departure
  • More than 90% utilization of space held -- No penalty
  • Less than 90% utilization of space held -- $75 per person
  • Less than 60 days from departure until 3 business days from departure--$150 per-person plus applicable hotel penalties.
  • Within 3 business days of departure date -- Non-refundable

Hotel penalties for attrition over 10% vary greatly. Be sure to ask for the details for your group dates and selected hotel.

If the group decreases to below group minimum size, as defined by the hotel or airline, group rates will not longer be available and regular rates will apply.

Revisions:

More than 60 days from departure -- Free
Less than 60 days from departure -- $25 per change per passenger, plus applicable airline and/or hotel penalties.

Penalties, terms, and conditions vary by supplier and are subject to change without notice. Any change must be acknowledged and agreed to by both parties. If no agreement is reached within 7 days of a change, either party may terminate the agreement under the previous terms.

Failure to comply with due dates and/or group requirements may result in termination of entire group package with all pertinent penalties applied.
